Voting Options: Board of Director Elections

This years elections will be held November 21 at 5:30PM in the WEST TOWER Recreational Room.  This is 2 days before Thanksgiving Holiday.  Voting can be done in person or online.

Electronic Voting

As you may know, the Board of Directors for both buildings will be holding its Annual Meeting and Board of Directors Elections for 2023 and notice will be provided to the ownership in the next weeks. Pursuant to the Florida Condominium Act (Chapter 718, Florida Statutes) and the Florida Administrative Code, the Association is providing this notice to disclose the procedures and deadlines to consent to electronic voting for the upcoming Board of Director elections.

Electronic voting is a system that will allow a unit owner to record their vote (secretly for elections) securely and electronically.  Most electronic voting programs can be done through the internet, smartphones, or private computers.  It is important to note that consenting to electronic voting is optional, and unit owners will still have access to paper ballots.  However, implementing electronic voting allows owners to vote for important matters from anywhere and at any time during the voting period.  This will result in shorter membership / annual meetings due to the decreased time it will take to count ballots; reduction or elimination in voting errors; increased owner participation; and will help achieve a quorum.

IT IS EASY to enroll!
  1. Look for you invitation to enroll sent August 18th 2023.  If you did not receive it, contact the management company.

  3. You will receive email confirming registration
  4.  Login to portal.  You will see open ballot, survey, or message showing no open.
  5. View Portal documents

Any unit owner that wishes to utilize electronic voting must consent to electronic voting, by filling out the Consent to Electronic Voting form provided by the company Voting Portals. If you did one in the past, you would need to do a new one this year. Starting August, Friday 18th, you will receive emails for your specific building (East/West) from [email protected] inviting you to create a password for your personal portal and consent to vote electronically. It will be one personal portal per owner regardless of the number of units owned. For election purposes, when the voting period is open, you will receive an individual email with a unique link for each unit owned. Changes of email addresses are not possible through the electronic election vendor or phone application but only through the onsite management team and any request must be in writing to 400sunnyislesmgr@fsresidential.com from the registered email on record for the unit.

Please do not wait until the last minute to login and execute the Consent to Electronic Voting.  If there is not enough time to process your Consent or verify that your electronic device can successfully communicate with the online voting system, you may be required to vote using paper ballots for the 2023 election.

 

It is the unit owner’s responsibility to follow the instructions provided by the Association and/or the online voting system to confirm, at least 14 days before the voting deadline, that the unit owner’s electronic device can successfully communicate with the online voting system.

 

By no later than forty-eight (48) hours prior to the election meeting, unit owners desiring to consent to online voting must consent, by executing the Electronic Voting Consent online form, which designates the email address to be used for electronic voting purposes.

 

All electronic votes for the 2023 Board of Director Elections must be cast at least four (4) hours in advance of the annual meeting / election, at which time the ability to vote electronically will close for the 2023 Board of Director elections.
